Changing your residential property factor or manager can often be perceived as a daunting task, but in reality, it’s a straightforward process. The first step involves reviewing your Deed of Conditions, which outline your rights and obligations, including your ability to change your factor. Most deeds will allow for a change if a majority of homeowners agree. Once you have the majority approval, it’s time to notify your existing factor about the change. You can typically do this via a written letter or email, ensuring you’ve clearly stated the date of termination for the contract, as per your agreement.
Every factor has an authority to act, what this means is that the factor can instruct repairs without Owner consent up to this authority. We hear the same complaint frequently from Owners – unknown charges on their bills that they had no knowledge of in advance. Our authority is £250+VAT, where we are different, is regardless of the cost, Owners will always be notified in advance of any repair that they may be liable for, meaning no nasty surprises when it comes to billing.
We conduct inspections of our blocks every 3 months, where we are different is that we notify Owners in advance of our inspections and ask if anyone would like to meet with us on site to discuss the block / development. We feel that communication and face to face meetings with our Owners is highly important. We want you to know when we are coming to the building as we want to discuss your building with you and ensure we are being proactive with any requirements or repairs.
We work with a utility provider and tender the market yearly to ensure that your utility account does not go onto an ‘out of contract’ rate. Often, we hear the same complaint that utility accounts are not investigated for better deals. We are proactive with this to ensure the best rate and charges for our Owners, every penny is a prisoner, and we are here to ensure that you are only paying charges that you should be.
We are extremely open to working with contractors that Owners would like to recommend to us. We often hear the same complaint – ‘the factor has provided quotes that I can get for substantially cheaper, but the factor will not work with my contractor’. Where we are different is that we are more than happy to work with your contractors, especially if this will save on costs and keep our clients happy – it’s a no brainer! All we ask is that the contractor provides us with the required insurance documents, and we will take it from there!
Communication is ‘key’, we provide our Owners with a weekly update on all outstanding matters relating to their blocks, we are happy to be part of email / WhatsApp groups as it suits our Owners and are very focused on ensuring that all Owners are fully abreast of the goings on in their buildings which is also ‘key’ to positive working relationships with our clients. Emails are responded to within acceptable timeframes, your calls will be answered and returned, and staff are always on hand to ensure any queries are handled quickly and effectively.
